A Pipeline, Not Just an Inbox

Replying is one job. Remembering who someone is three weeks later is another. Leads handles the second: one record per person, a real pipeline, and follow-up that keeps working long after the conversation pauses.

Momentum and up · AI scoring on Dominate

You run a business, not a filing system.

No need to keep a spreadsheet.

Website forms, Facebook Lead Ads, Instagram DMs and WhatsApp messages become one record per person, moving through a seven-stage pipeline. Hot leads alert you immediately; warm and cold ones enter a follow-up sequence on their own. From Momentum up.

What you actually do

  1. 1

Let every enquiry file itself, whichever channel it arrived on.

  2. 2

Answer the hot-lead alert when your phone buzzes.

  3. 3

Glance at the pipeline when you want the whole picture.

The pipeline

One screen for everyone who ever enquired

Website forms, Facebook Lead Ads, Instagram DMs and WhatsApp messages all land here as one record per person — scored, staged, and still there three weeks later when you want to know who was asking about the festive range.

The Leads screen. Temperature is scored separately from pipeline stage, so a cold lead can still be far along. Names and figures are illustrative.

Replying and tracking are two different jobs

A public comment needs a good answer. A private DM needs an answer and a record. MarkOS routes them accordingly — and private conversations deliberately go to both.

One person, one record, seven stages

Someone who DMs you on Instagram and later messages on WhatsApp is one lead, not two — records are matched on phone, then email, then WhatsApp number.

The seven stages

  • New
  • Contacted
  • In sequence
  • Responded
  • Needs manual outreach
  • Converted
  • Lost

Temperature is tracked separately from stage, because they answer different questions. Hot, Warm or Cold is how interested someone is; the stage above is where they are in your process. A hot lead can sit at "New" — that is precisely the one you want to know about.

0.75+

Hot

Alerts you immediately.

0.40–0.74

Warm

Enters a follow-up sequence.

Below 0.40

Cold

Kept, and nurtured slowly.

What the AI actually reads

  • On Momentum, every lead is scored by a fast keyword classifier — asking about price, availability or booking reads hot.
  • On Dominate, Claude reads the whole conversation instead and returns a 0–1 intent score, a one-line summary of what the person actually wants, and the keywords it keyed on. Above 0.75 is hot; 0.40 to 0.74 is warm.
  • Hot leads alert you immediately — deduplicated to once a day per person, so an active prospect stays one clear alert rather than a buzzing phone. Warm and cold ones enter a drip sequence over email, WhatsApp or DM, whichever you can actually reach them on.
  • If a conversation is already being answered live the sequence drops its immediate step rather than messaging the same person twice seconds apart, and a lead with no reachable channel is flagged needs manual outreach and surfaced to you, so it always gets a human.
